Defining Free Fields for Items

You can view the accounts receivable report by defining one or more of the following criteria

Introduction

This page allows you to define additional fields for items. These fields will then be available under the Free fields section when creating items. However, the free fields displayed will depend on the assortment defined for the item at Assortment under the Categories section when creating items. Different types of fields can be created such as text fields, date fields, number fields, and many more.

Menu path

To create additional fields for new items, go to Logistics/Setup/General/Assortments, and then click New. Under the Free fields: Items section, click the relevant link of the additional field to be created.
To create or modify additional fields for existing items, go to Logistics/Setup/General/Assortments, and then click the relevant link of the assortment in the Code or Description column. Under the Free fields: Items section, click the relevant link of the additional field to be created or modified.

Roles & rights

To create or modify free fields for items, function right 217 – Maintain Item assortment is required. Users with the Item management role have this function right.

For more details on what you can do with function rights or levels, go to System/Setup/Security/Function rights, select the required module, and then click on the relevant ID. To find out the functions you can perform with a particular role, go to System/Setup/Security/Roles, type in the description, click Refresh, and then click the required link under the Role column.

Description

Assortment

This displays the assortment of the free field.

Field

This displays the free field selected for the assortment.

Label

Type a name for the additional field.

Selection: Values

Type the options to be displayed in the free field box when creating or editing items. You can define the selection values based on the following scenarios:

Term is defined: If you want to define a free field selection value for a term that is already available at System/Setup/Term/Search, the format for the selection value is "value, term, term ID". For example, type "1,Account,8;2,Resource,12;3,Request,16" if you want the free field box to have options "Account", "Resource", and "Request".
Term is not defined: If you want to define a free field selection value for a term that is not available at System/Setup/Term/Search, the format for the selection value is "value, description". For example, type "1,Red;2,Green;3,Blue" if you want the free field box to have options "Red", "Green", and "Blue".

Note: This box is available only if you are defining Text or Number free fields.
